What's New in VanMan: 7 Features to Run Your Moving Company Smarter

We've been busy. Over the past few weeks we've shipped seven new features designed to save you time, give you more visibility, and automate the repetitive tasks that slow your business down. Here's the rundown.

Workflow Automation

Build visual workflows that run automatically when things happen in VanMan. A job gets confirmed? Send the customer a confirmation SMS. A job is completed? Create the invoice and sync it to Xero. A booking comes in after hours? Send an auto-reply email.

The workflow builder is drag-and-drop — you connect triggers, conditions, actions, and delays on a visual canvas. No coding required. We've also included pre-built templates for the most common scenarios so you can get started in minutes.

Start with a template. Head to Settings → Workflows → Templates and pick one that matches your process. You can customise it from there.

Gmail & Outlook Email Integration

Connect your Gmail or Microsoft 365 account and VanMan automatically captures every email that mentions a job number. The email appears on the right job, with attachments stored and the full thread visible to your team. You can reply directly from VanMan — no need to switch to your inbox.

This means every conversation about a job — SMS, email, and in-app messages — lives in one place.

Day Plan

The Day Plan is a new daily operations dashboard that splits your screen between a calendar timeline and a Google Map. See every job for the day as time blocks on the left, and every pickup, delivery, and truck route on the map to the right. Click a job on one side and it highlights on the other.

If your drivers have the mobile app running, their live GPS position appears on the map too — so you always know where your trucks are.

Calendar Events

Your calendar now supports custom events alongside jobs. Add meetings, training sessions, vehicle servicing, or anything else that blocks out time. Events support all-day and timed formats, colour-coding, truck assignment, and contact linking.

Live Truck Tracking

When drivers use the VanMan mobile app, their GPS location is sent to the web dashboard in real time. Open the live map to see every truck's current position, heading, and speed. Location history is recorded so you can review routes after the fact.

Materials & Costing

Build a catalog of materials with categories and pricing. Add materials to jobs for accurate cost tracking, generate customer-facing quotes, and convert quotes to invoices when the work is done. Everything feeds into your invoicing and Xero sync.
