Create your account
Head to vanman.app/signup and create your free account. You'll need your company name, email, and a password. That's it — no credit card, no contracts.
Once you're in, the onboarding wizard walks you through the essentials: adding your trucks, inviting your team, and connecting Xero if you use it.

Add your trucks
The first thing most owners do is add their fleet. Head to Settings → Trucks and add each vehicle with a name, colour, and capacity. The colour you pick shows up on the calendar, so choose something distinct for each truck.
Most companies start with two or three trucks and add more as they grow. You can always come back and adjust later.
Invite your team
VanMan works best when your whole team is on it. Invite your operators and drivers from Settings → Team. Each person gets a role:
- Admin — Full access to everything, including billing and settings
- Operator — Can manage jobs, the calendar, invoicing, and communications
- Driver — Sees their assigned jobs, tracks delivery time, and navigates to addresses
Drivers use the mobile app, so make sure they download it from the App Store or Google Play.
Schedule your first jobs
Now the fun part. Open the Calendar and start adding jobs. You can create a job directly on the calendar by clicking a time slot, or go to Jobs → New Job for the full form.
Each job captures:
- Customer name and contact details
- Pickup and delivery addresses (with Google Maps integration)
- Date, time, and assigned truck
- Any notes or special requirements
Once saved, the job appears on the calendar colour-coded to the assigned truck. Drag and drop to reschedule if plans change.
Connect Xero (optional)
If you use Xero for accounting, connect it from Settings → Xero. Once linked, you can generate invoices from completed jobs with one click and they'll sync straight to Xero — no double entry.
Xero integration is optional and can be set up at any time. VanMan works perfectly fine without it.
You're ready
That's genuinely all it takes. Most moving companies are fully operational on VanMan within their first day. The calendar becomes your command centre, jobs keep everyone on the same page, and invoicing happens in seconds instead of hours.
