Reporting an incident

How to log an incident in VanMan from the web or mobile, including AI photo assessment for damage.

An incident is any event on a job that needs recording — damaged goods, an injury, a near miss, an exposure, or property damage. VanMan gives you one place to capture what happened so the office can act on it.

What an incident holds

Every incident you log has:

  • Type — Damage, Injury, Near miss, Exposure, or Property.
  • Severity — Minor, Moderate, or Major.
  • Location — where on the job it happened: Pick up, In transit, or Drop off.
  • A title and notes describing the event.
  • An optional photo.
  • An optional link to a job, so it sits against the right move.

Reporting from the web

Open Incidents in the sidebar. A new count badge shows how many are waiting to be looked at.

Start a new incident

On the Incidents page, create a new incident and choose its Type.

Add the details

Set the Severity and the Location on the job. Give it a clear title and add notes. Attach a photo if you have one.

Link it to a job

Where the incident belongs to a move, link it to that job so it can be followed up later.

Reporting from mobile

Drivers and crew can raise incidents on the spot using the guided flow in the mobile app. Pick a type, set the severity and where it happened, attach or skip a photo, add notes, then tap Log & notify office.

For a Damage incident on mobile, take a photo and let the app's AI assess it. It identifies the item — for example "Dining chair — timber, mid-century" — describes the visible damage, and suggests a severity. Correct anything that looks off before you log it.

An incident can be raised standalone or attached to a job. When attached, the app shows any incidents already logged for that job.
