Adding staff members

Add and manage your crew in VanMan — name, contact details, employment role, hourly rate, and active status.

The Staff area in the main sidebar is where you add and manage the crew members who work your jobs. Each person gets their own record with their contact details, employment role, hourly rate, and active status, so you can keep your team organised in one place.

Staff versus users

It's worth knowing the difference before you start. Staff are the movers and crew you employ — their records are used for crew assignment, timesheets and pay. Users are login accounts with roles like Admin, Operator or Driver, and those are managed separately under Account & Billing. You don't need a login for every staff member, so add everyone to Staff even if they never sign in.

Add a staff member

Open the Staff area

Go to Staff in the main sidebar to see your current crew list.

Enter their details

Add the staff member's name, email and phone so you have their contact details on hand.

Set their role and rate

Choose the employment role that matches the work they do, then set their hourly rate. The rate feeds timesheets and pay calculations, so make sure it's correct.

Set their active status

Mark the staff member as active so they're available to assign to jobs. You can update any of these details later from the detail sheet for that person.

Each staff member's hourly rate flows straight through to timesheets, so the pay calculated for every shift is based on the rate you set here.

Set the correct role and rate when you first add someone. That way crew assignment and pay work correctly from their very first job.
