Managing user roles
VanMan has three user roles that control what each team member can access. Assigning the right role ensures everyone has the tools they need without exposing settings they should not change.
Role overview
| Role | What they can do | |------|-----------------| | Admin | Full access to everything — jobs, calendar, invoicing, settings, billing, and team management. | | Operator | Manage jobs, the calendar, customer communications, and invoicing. Cannot access billing or account settings. | | Driver | View assigned jobs for the day, track time, navigate to addresses, use team chat, and add notes and photos to jobs. |
Most moving companies set the business owner as Admin, office staff as Operators, and crew members as Drivers. You can have as many of each role as you need.
Changing a team member's role
Open team settings
Navigate to SettingsTeam to see the list of all team members and their current roles.
Select the team member
Click the team member whose role you want to change.
Update the role
Select the new role from the Role dropdown and click Save. The change takes effect immediately — the team member's access is updated the next time they load any page or open the app.
If a driver is promoted to a scheduling role, change their role to Operator so they gain access to the calendar and job management features.
