Configuring AI and automatic appraisals

Turn on automatic appraisals, scope them by request type and status, and edit the AI prompts.

The Settings → AI area controls how VanMan's AI appraisal behaves, from whether it runs automatically to the exact wording of the prompts it uses.

Turn on automatic appraisals

Toggle Automatic Basic Appraisal to have VanMan automatically select the best-fit appraisal template and pre-fill an estimate whenever you open a job's Appraisal tab. With it off, you start each appraisal manually.

Scope where it runs

You can enable and scope auto-appraisal by request type and job status, so it only runs for the kinds of jobs where it's useful. This keeps the AI focused on the work where an automatic estimate saves you time.

Edit the prompt templates

VanMan uses editable prompt templates for each part of the assessment:

  • Access advice
  • Photo analysis
  • Full assessment
  • Basic assessment

Each prompt supports placeholder variables that VanMan fills in with the job's details, including the address, load description, item list, access options and preferred times. Editing these lets you tune the AI's tone and focus to suit how your business operates.

Open AI settings

Go to Settings → AI.

Enable and scope auto-appraisal

Turn on Automatic Basic Appraisal and set the request types and job statuses it should apply to.

Adjust the prompts

Edit any prompt template, using the placeholder variables to include the job details you want the AI to consider.

Edited a prompt and want the original wording back? Use the one-click reset to return any prompt to its default.
