Understanding the booking pipeline

The booking pipeline in VanMan tracks every enquiry through a series of stages. This helps you see where each lead stands and ensures no enquiry falls through the cracks.

Pipeline stages

Each booking moves through these stages:

  • New — A fresh enquiry has been submitted through the booking form. No one has responded yet.
  • Contacted — You have reached out to the customer by phone, email, or SMS.
  • Quoted — You have sent the customer a price for their move and are awaiting their decision.
  • Confirmed — The customer has accepted your quote and the booking is locked in. The enquiry is ready to be converted to a job.
  • Declined — The enquiry did not proceed. This could be because the customer chose another company, cancelled their move, or you were unable to accommodate the request.

You can move an enquiry to any stage at any time. Stages are not locked in sequence — if a customer calls back after being quoted and confirms immediately, you can skip straight to Confirmed.

Using the pipeline to manage your workload

Filter the bookings list by stage to focus on what needs attention. For example, filter by New at the start of each day to see which enquiries need a first response, or filter by Quoted to follow up on outstanding quotes.

Track your conversion rate from New to Confirmed using the analytics dashboard. This shows you how effectively you are turning enquiries into paying jobs and where leads are dropping off.
