Job history and audit trail

View the complete activity log for any job including status changes, edits, and messages.

Every action taken on a job in VanMan is recorded in the activity log. This creates a complete audit trail that you can review at any time to understand what happened and when.

What is logged

The activity log captures:

  • Status changes — when the job moved from one status to the next and who made the change.
  • Edits — any modifications to customer details, addresses, dates, truck assignments, or notes.
  • Messages — SMS and email messages sent to the customer from the job, including delivery status.
  • Invoices — when an invoice was created and synced to Xero.
  • Time tracking — when a driver started and stopped the timer on the mobile app.

Viewing the activity log

Open the job detail panel and scroll to the Activity section at the bottom. Each entry shows the action that was taken, the name of the team member who performed it, and a timestamp.

The activity log is read-only and cannot be edited or deleted. This ensures the audit trail remains accurate and complete for every job.

Use the activity log to review what happened on a job if a customer queries their invoice or raises a concern. The log provides a factual record of every interaction and change.
