Adding your trucks

Each truck in VanMan represents a crew and vehicle that can be assigned to jobs. Setting up your trucks with accurate details helps you manage capacity, avoid double-bookings, and keep your calendar organised.

Choose distinct, contrasting colours for each truck. On the calendar view, jobs are colour-coded by truck, so using similar shades for different vehicles makes it difficult to tell assignments apart at a glance. Bold colours like red, blue, green, and orange work well for fleets of up to six trucks.

Open the truck manager

Navigate to SettingsTrucks and click the Add truck button. A panel will open where you can enter the details for your new vehicle.

Enter truck details

Fill in the Truck name field with a recognisable label such as "Truck 1" or a nickname your team already uses. Next, enter the Registration number so you can identify the vehicle for compliance and reporting purposes. Then set the Capacity in cubic metres. For example, a standard two-bedroom moving truck is typically around 20 cubic metres, while a large furniture truck may hold 40 cubic metres or more. Accurate capacity figures help VanMan warn you when a job's estimated volume exceeds what the assigned truck can carry.

Pick a colour

Click the Colour swatch to open the colour picker. Select a colour that will represent this truck across the scheduling calendar, job cards, and dispatch board. You can enter a specific hex code if your company uses branded colours, or simply choose from the preset palette.

Assign a team leader

Optionally, assign a default Team leader from your staff list. When this truck is added to a job, the team leader is automatically included in the crew assignment. This saves time during scheduling and ensures your most experienced operators are allocated consistently. You can always override the team leader on individual jobs if needed.

Click Save to add the truck to your fleet. Repeat these steps for each vehicle you operate. You can edit or deactivate trucks at any time from the truck manager without affecting historical job records.
