Inviting your team

VanMan is built for collaboration. Whether you have a small crew of two drivers or a large operation with dispatchers and office staff, adding your team is the first step to getting everyone on the same page. Each team member receives an email invitation and can sign in with their own credentials.

VanMan offers three roles, each with different levels of access:

  • Admin -- Full access to settings, billing, reporting, team management, and all jobs. Best for business owners and office managers.
  • Operator -- Can create and manage bookings, communicate with customers, generate invoices, and view the calendar. Cannot change billing or integration settings.
  • Driver -- Mobile-focused access to assigned jobs, navigation, photos, and customer signatures. Drivers cannot see pricing, invoices, or other drivers' schedules.

How to invite team members

Open the team page

Navigate to SettingsTeam and click Invite Member. Enter the person's name and email address. You can invite multiple people at once by clicking Add another before sending.

Assign a role

Choose the appropriate role for each person from the dropdown. Think about what information they need day-to-day. Most office staff work well as Operators, while on-road crew members should be set as Drivers. You can always change a team member's role later from the same page.

Send invitations and confirm

Click Send Invites. Each person will receive an email with a link to create their password and log in. Pending invitations appear in the team list with a Pending badge. If someone hasn't received the email, check their spam folder or click Resend next to their name.

Drivers who primarily use the mobile app can accept their invitation and complete setup entirely from their phone -- no desktop required.
