Bundles and costs on the tally

Add catalog bundles, build one-off bundles, import the estimate, and read retired items on Tally & payment.

Tally & payment is where the crew records what a job actually used. It now handles the same pricing structures as the office — bundles, fixed amounts and imported estimates — so the tally and the invoice agree.

Importing the estimate

Tap Import estimate (just Import on a hybrid job) and the quote comes across as tally lines. A preview sheet opens first:

  • Pick which cost item stands for labour.
  • Edit the fixed charge if it needs adjusting.
  • Read the estimate vs import comparison at the bottom.

Then Import. The lines are created; the crew doesn't retype the quote at the tailgate.

Import replaces the pricing on the tally, exactly as it does in the office. Import first, then add what the job actually used — not the other way round, or you'll lose your additions.

Adding a bundle from the catalog

On a hybrid job, tap Add bundle to pick from the bundles set up at Settings → Bundles in the office. The whole bundle drops on with its items and its fixed amount. See using bundles.

Building a bundle on the job

Also on hybrid jobs, New bundle lets the crew group lines that are already on the tally: tick the items, name it, set the amount. Good for a one-off — "Stairs & long carry — $150" — that would never be worth saving to the catalog.

To change one afterwards, tap the pencil on the bundle row. It reopens with the members already ticked and the name and amount filled in, so you can add an item, drop one, or change the price.

Member lines are nested under their bundle, indented, so it's obvious what's inside what. Where a bundle contains hourly labour, it shows Includes n crew hrs labour underneath — the hours are visible even though the price is fixed.

Deleting a bundle doesn't delete its items. They come out of the bundle and back into their normal categories, priced normally.

Retired items

A cost the office has retired stays on any tally line that already has it, tagged retired. It can't be added to anything new. If retiring leaves a category with no active items at all, that category stops appearing in the picker — so the crew isn't tapping into empty lists.

If something you need is missing from the picker, it has probably been retired in the office. Ring in rather than substituting something close; see retiring a cost.

Half units

Quantities and hours take decimals. Type 1.5 and it stays 1.5, and the + / − buttons step in halves on decimal fields. Half an hour of waiting time and half a roll of tape are real; they no longer have to be rounded.

Tutorial: closing out a hybrid job on the truck

Import the estimate first

Open Tally & payment and tap Import. Starting from what was quoted means you're recording the differences, not rebuilding the whole job from memory in a customer's driveway.

Check the comparison line

The sheet compares the import total against the estimate. If it says they differ, the office changed something after the quote went out — worth a glance before you accept it.

Add what actually got used

Extra boxes, extra tape, waiting time. Use decimals where the truth is a half.

Bundle the extras if it reads better

Four lines for a difficult access reads as nitpicking; one Stairs & long carry line at a round number reads as a charge. Tap New bundle, tick the four, name it, price it.

Get the signature before you pack up

Capture signature for the customer sign-off, then take payment. Once the truck has left, both are much harder to get.
